Employment Information

We are seeking a highly organized and proactive Assistant Project Manager – Mechanical to provide comprehensive support throughout all phases of commercial HVAC construction projects. This role ensures seamless coordination of documents, scope, procurement, and field activities, while maintaining strict safety and quality standards. The ideal candidate brings strong mechanical systems knowledge, a collaborative spirit, and excellent attention to detail.

Key Responsibilities:

Project Documentation & Control:

  • Organize and distribute contract documents (drawings, specifications, schedules, RFIs, bulletins) to internal teams and external partners.
  • Track and log all document activity, shop drawings, and submittals.
  • Draft, submit, and monitor RFIs and ensure timely response distribution.
  • Attend coordination meetings, take and distribute meeting notes.
  • Manage progress and as-built drawings throughout the project lifecycle.
  • Compile closeout documentation including O&M manuals, owner training, startup reports, and punch lists.

Scope & Change Management:

  • Support the identification and documentation of changes to project scope.
  • Assist in tracking and reporting scope adjustments and their impact on cost or schedule.

Procurement & Vendor Coordination:

  • Maintain equipment procurement logs and assist with order tracking.
  • Coordinate tool and equipment rentals.
  • Work with the Purchasing Department to manage delivery schedules and site logistics.

Safety Compliance:

  • Conduct site walkthroughs and support site safety inspections.
  • Assist in maintaining project-specific safety requirements: audits, toolbox talks, safety plans, pre-task planning.
  • Ensure proper documentation in safety management platforms (e.g., Industry Safe).

Estimating Support:

  • Assist in takeoffs and estimation using construction software.
  • Coordinate with vendors and suppliers to collect accurate quotes.
  • Support pre-bid meetings, project turnover sessions, and proposal letter development.

Cost & Labor Tracking:

  • Assist in tracking job costs and labor productivity using accounting and project management software.
  • Collaborate with project managers and field foremen to maintain real-time labor and productivity records.

What We’re Looking For in You:

  • Bachelor’s degree in Mechanical Engineering, Construction, or related field preferred.
  • Minimum 2 years’ experience in construction or mechanical systems environments.
  • Strong knowledge of HVAC systems, mechanical drawings, and construction workflows.
  • Familiarity with estimating tools and project management software.
  • Ability to read and comprehend technical construction documents.
  • Understanding of business operations and basic project financials.
  • Excellent verbal and written communication skills in a collaborative team setting.
  • Must be legally authorized to work in the U.S. without sponsorship.
